Web and backoffice redesign for accounting platform

Gesfiser had been managing the accounting of self-employed workers and companies in Bizkaia for years with in-person processes and paper documentation. The digital leap involved more than just transferring forms to the screen: non-technophile users had to be convinced that a web platform could replace their trusted manager, and do so without errors in a regulatory context that changed halfway through the project.

The appearance of TicketBAI — the new fiscal obligation of the Basque Provincial Treasury — forced us to redesign already closed flows, add validation states to the invoice tables and create a visual language that conveyed regulatory compliance without alarming the end user. Designing for real-time legislation is another level of complexity.

Three fronts, three tailored solutions.

The work was articulated on three simultaneous fronts.

First, simplify onboarding to three steps with minimal distraction at initial registration: payment data was moved to a modal that appears after 15 days of use, eliminating the barrier to entry without compromising the business model.

Second, structure the backoffice with a clear hierarchy: tables of invoices, clients and suppliers with functional filters, and the integration of the TicketBAI status column with explanatory tooltips so that the user understood the error before calling support.

Third, build the visual system on Manrope and an already resolved corporate palette, and layout it on WordPress + GeneratePress with custom CSS, also delivering the mockups in SVG for communication on networks and the corporate website.

The new UX reduced bottlenecks from day one.

The onboarding redesign reduced the average registration time and activated a cleaner conversion flow by separating subscription from registration. TicketBAI's visual certification became a commercial argument against competitors who took months longer to adapt.
